Confirming proof of identity ensures the individual is who they claim to be and that they have the legal right to work in the UK.
To complete an identity check, you must review documents that confirm the candidate’s name and date of birth. This typically includes one document from Group 1 and an additional document from Group 1, 2a, or 2b (as outlined in the official document lists).
There are three accepted methods to view and validate identity documents:
If an in-person check cannot be completed, the reason must be clearly documented. For example:
“Unable to attend face-to-face meeting due to location constraints, childcare responsibilities, or travel limitations.”
The file must also include details of the verification process, including when the documents were seen and by whom.
Organisations may also use third-party Identity Service Providers (IDSPs), which utilise Identity Document Validation Technology (IDVT). This is particularly useful for remote or geographically dispersed workforces.
Note: When using third-party providers, organisations must ensure that all checks remain compliant with BS7858 standards and requirements.
